About the job

  • Your responsibilities include, but are not limited to:

Handling GM calendar (including coordinating crucial meeting dates) and coordinating travel

Preparing meeting agendas, materials, and catering

Administering minutes and following up to meet objectives

Managing diverse general administration tasks, including Outlook, correspondence, documentation filing, and phone calls

Organizing files, distribution lists, and SharePoint groups for up-to-date policies/forms and proper file administration

Supporting teams through filing, document circulation, meetings, events, workshops, onboarding, and project participation

Facilitating internal/external communication for the GM and within the Leadership team

Tracking and managing expenses, processing invoices, submitting reports, and reconciling with Finance

Preparing HR Internal Communication material and supporting the organization & planning of HR-related events

Handling sensitive information with utmost discretion, maintaining a high level of confidentiality in all interactions

 

About you

We are looking for a unique and amazing talent, who brings along the following:

University degree/ Education

Minimum of 2 years of professional experience in a similar role within an international setting

Experience with Microsoft Office, ideally possessing excellent PowerPoint skills

Skills and experience in PR and communication, including digital, are a plus

Strong team orientation and the ability to work effectively with all levels of the organization

Ability to work under pressure

Excellent analytical and problem-solving skills

Highest level of personal integrity and discretion, particularly regarding sensitive topics, ensuring trustworthiness and discretion

Excellent proficiency in English, including presentation and communication skills

Communicative proficiency in German
